I’ve worked with hundreds of couples and venues over the years, and if there’s one thing I always say; it’s that the questions you ask now can save you stress (and money) later.
1. What’s Included in the Rental Fee?
This might seem basic, but you’d be surprised how many couples assume things like tables, chairs, or setup are included—only to be hit with extra charges. Make sure the contract clearly outlines what is and isn’t part of your rental package.
Ask:
- Are tables, chairs, linens, and dinnerware included?
- What about setup, breakdown, and cleaning?
- Do you provide audio/visual equipment or do we need to rent that separately?
2. What’s the Payment Schedule & Cancellation Policy?
Always understand the financial side before you commit. Most venues require a deposit, followed by a payment schedule. Ask what happens if you need to postpone or cancel, especially if your date is far out.
Ask:
- How much is the deposit and when is it due?
- When are additional payments required?
- What happens if we cancel or reschedule?
3. What Happens in Case of Bad Weather?
Especially for outdoor weddings, you need a solid backup plan. Make sure you like the Plan B as much as the original. Don’t just hope for sunshine—plan for everything.
Ask:
- Is there a covered or indoor space available?
- How last-minute can we switch to the backup space?
- Is tenting allowed or provided, and at what cost?
4. Are There Vendor Restrictions?
Some venues require you to use their preferred vendors. Others offer flexibility. There’s no right or wrong – but it’s important to know your options, especially if you have a specific caterer, wedding DJ, or florist in mind.
Ask:
- Do we have to use in-house vendors?
- Is there a list of preferred vendors to choose from?
- Is there a fee to bring in outside vendors?
5. What’s the Timeline for the Day?
Understanding how much time you actually have at the venue is key. From setup and photos to teardown, every minute counts—especially if you’re hiring vendors or coordinating multiple locations.
Ask:
- What time can vendors start setting up?
- How long do we have for the event?
- Is there a hard end time or overtime fee?
6. Are There Any Hidden Costs?
Taxes, gratuity, service fees, and overtime charges can add up quickly. Always ask for an itemized estimate so you can plan your budget accordingly.
Ask:
- Are taxes and gratuity included in the total?
- Are there cleaning or security fees we should know about?
- What are the overtime rates?
7. Is There a Venue Coordinator?
A venue coordinator is not the same as a wedding planner; but they’re still an important part of the day. Knowing who will be your point of contact onsite is a big help for your vendors and your peace of mind.
Ask:
- Is someone from the venue available on the day of the wedding?
- What responsibilities do they handle?
- Can we schedule a final walkthrough before the big day?
